Company reports: the Parcel report and other reports

How a company uses the Parcel report (period, filters, tiles, breakdowns, export), what each number means, and which older reports in the menu are unreliable for money figures.

Purpose#

The Parcel report gives the company one page with parcel counts, delivery results, cash collected and delivery fees for any period, broken down by merchant and courier, with a CSV export. This guide explains how to read it and which other reports in the Reports menu are older and less reliable for money figures.

Who can use it#

Company admin, in-charge and hub accounts whose role has the parcel_status_reports permission. The report covers all parcels of your company, from your own merchants and from platform merchants who ship with you. Other companies' parcels never appear.

Requirements#

  • The parcel_status_reports permission. The Total summery menu item (sic; permission parcel_total_summery) opens the same page, but its export and status links use the Parcel Report routes, which need parcel_status_reports.
  • Parcels are counted by their creation date, not by delivery date.

Produce a parcel report#

  1. Open the report

In the side menu choose Reports, then Parcel Status Reports. The page is titled Parcel report. The Reports menu appears only if your role has parcel_status_reports or parcel_wise_profit.

  2. Choose the period

Use the buttons Today, Last 7 days, This month, Last month, or set From and to yourself. The default is the start of the current month until today. If the dates are reversed they are swapped.

  3. Narrow the results

Filter by Status group (Awaiting pickup, Out for delivery, Delivered, Return, Other), Merchant, Courier, or search by tracking number, phone, name or order number. Press View; Clear filters resets everything.

  4. Read the summary

The tiles show the numbers described below. Clicking a segment of the Status distribution bar applies that status filter.

  5. Read the breakdowns

By day is a column chart (shown only when parcels were created on more than one different day in the period; green is the delivered share). By merchant and By courier are tables of the top 30 by parcel count; click a name to filter by it. Below them the parcel list shows 25 parcels per page.

  6. Export or print

Export Excel downloads a CSV file with a UTF-8 byte-order mark so Excel shows Arabic correctly. Print prints the page without the filters.

Expected result#

The page shows the tiles, the status distribution bar, the By day, By merchant and By courier breakdowns and the parcel list for the chosen period and filters.

What the numbers mean#

Tile or column Meaning
All parcels Parcels created in the period that match the filters. The small line counts those still in progress (Awaiting pickup plus Out for delivery)
Delivered Parcels in the Delivered group (see the status groups below). Success rate = delivered ÷ (delivered + returned)
Return Parcels in the Return group (see the status groups below); "Worth" is the sum of their COD amounts
Collection of delivered parcels The amount actually collected on delivered parcels (the COD amount if no collected amount was recorded). A line below it, "and ... still in progress", shows the COD of parcels still in progress (Awaiting pickup plus Out for delivery)
Delivery fees (delivered) The delivery fee of delivered parcels. When a platform share applies it shows "Platform share ... — net ...", otherwise the fee of all parcels

Status groups: Awaiting pickup = Pending, Pickup Assign, Pickup Re-Schedule, Received By Pickup Man. Out for delivery = Received Warehouse, Transfer to hub, Received by hub, Delivery Man Assign, Delivery Re-Schedule. Delivered = Delivered, Deliver and Partial Delivered. Return = Return to Courier, Return assign to merchant, Return assign to merchant Re-Schedule, Return received by merchant, Return Warehouse, Assign Merchant and Returned Merchant. Other = everything else, including the cancel statuses such as Return to courier cancel.

CSV columns#

Tracking number, order number, date, status, group, recipient, phone, city, merchant, courier, COD amount, collected, shipping fee, platform fees and platform share. Amounts in the file are in US dollars; the screen uses your display currency.

Older reports in the menu#

  • Parcel Wise Profit (parcel_wise_profit; the Arabic interface shows it under a wrong title, «ربح لا يتجزأ من الحكمة»): lists delivered parcels with income, expense and profit. Income reads the older "Total Charge Amount" field and expense reads older courier statement entries. Parcels created by the current process store 0 in the older fields, so this report is not a reliable money report.
  • Merchant/Branch/deliveryman (merchant_hub_deliveryman; the Arabic menu writes «المحور» for the hub): choose a user type (Merchant, Branch or Delivery Man) and filters. It also reads the older accounting fields and entries.
  • Salary Reports (salary_reports): salary records and payments by date, month and user, with export and print. It reports on the records of the Payroll pages in the side menu.

For money owed between you, your couriers and your merchants use the settlement pages instead.

Common mistakes#

  • Looking for a parcel by its delivery date. The report filters by creation date, so a parcel created last month and delivered this week appears in last month's report.
  • Using Parcel Wise Profit for new parcels and seeing 0.
  • Hitting the export limit: at most 20 export requests per minute are allowed.

Limits and permissions#

  • Company staff see only their company's parcels; the Company filter exists only for the super admin.
  • The by-merchant and by-courier tables show the top 30 only, and the merchant and courier filters list up to 1000 names.
  • Print uses the browser's print dialog; there is no PDF file.
