Departments, designations, salaries and payroll

How to create departments and designations, set each staff member's and courier's salary, generate a month's payroll and review it in Salary Reports, and what is not available on the salary payment screen.

Purpose#

This guide covers the small HR toolkit in the company panel: departments and designations (job titles) for staff, each person's salary, the monthly payroll lines you generate, the Salary Reports that compare them with payments, and the Salary payment records. It also states that paying a salary from the Salary screen is not available at the moment, so do not rely on it.

Who can use it#

  • Company staff on the company's own domain; the salary and payroll pages are available only there.
  • Each screen needs its own permission, granted through the staff member's role and, for the company admin, through the modules of the company plan: department_*, designation_*, salary_generate_*, salary_* and salary_reports. A missing permission hides the menu item, and opening the link directly sends you back to the home page.
  • Menu locations: Users & Roles holds Designations and Departments; Payroll holds Salary Generate and Salary; Salary Reports is inside the reports menu, which is shown only to accounts that also hold a parcel-report permission (parcel_status_reports or parcel_wise_profit).

What you need#

At least one active department and one active designation. The staff user form requires both and lists only active ones.

Set up payroll#

  1. Create departments and designations

Open Designations or Departments and press the + button (tooltip Add). Enter a Title (up to 191 characters) and a Status (Active or Inactive), then Save. The title must be unique; if it is refused as already taken, choose another. A department or designation can be edited or deleted from the actions menu of its row.

  2. Set each person's salary

On the add or edit form of a staff user (Users & Roles > Users) and of a courier, enter a number in Salary; type 0 for someone with no salary, because leaving the box empty is refused with a "must be a number" error. Users also need a designation and a department there.

  3. Generate a month's payroll

Open Payroll > Salary Generate. Press Auto Generate, choose the Month and press Submit. For every company account of the admin type (the users you add under Users & Roles) and every courier, the system creates one line with that person's current salary and the note "Auto Generated". A person who already has a line for that month is skipped. In-charge and hub accounts are not included: add them by hand with the Add button, which asks for the user, the month, the amount and a note, and refuses a second line for the same user and month ("Already salary generated.").

  4. Review and correct the lines

The list shows User, Month, Amount, Status and Note. Use Edit or Delete in a row's actions menu. A line stores the amount at the time it is generated; changing the person's salary later does not change existing lines.

  5. Check what was paid

Open Salary Reports, filter by date range, Month and User, and read Salary, Paid Amount and Status (Unpaid, Partial Paid or Paid) for each line. You can export or print the report.

Expected result. One payroll line per person per month, and a report showing how much of each line has been paid.

Salary payment records#

The Salary page lists payment records with the columns User, From Account, Month, Date, Note and Amount (Tk), and each row can print a Pay slip (employee details, pay period, the generated salary and the amount paid).

Common mistakes#

  • Expecting the payroll status to turn to Paid. The Status column in Salary Generate stays "Unpaid"; only Salary Reports compares lines with payment records.
  • Missing staff after Auto Generate. In-charge and hub accounts are not generated automatically.
  • A zero amount. People without a salary get a line with amount 0.
  • The "(Tk)" in amount headers. The Amount column heading in Salary Generate and in Salary reads "Amount (Tk)" whatever your currency. Salary Generate, Salary Reports and the pay slip show the figures with your company currency symbol; the Salary list shows plain numbers.

Limits and permissions#

  • Company domain only; one payroll line per user per month.
  • Salary values are plain numbers: no tax, allowance, deduction or overtime fields exist.
