Courier cash settlement and the company merchants ledger

How a delivery company collects COD cash from couriers and pays their commissions, and how it manages its merchants' balances, COD dues and statements.

Purpose#

When a courier delivers a cash-on-delivery (COD) parcel, the system records two balances on that courier: the cash they hold and the commission the company owes them. This guide shows how a delivery company collects that cash and pays commissions on Courier settlements, and keeps its merchants' accounts (shipping balance, COD dues) in Company merchants and their wallets. The system moves no real money; it records what you received or paid.

Who can use it#

Company staff accounts (admin, in-charge, hub) can use Courier settlements; settlements have no separate permission. A merchant who owns a private delivery company settles its accounts with its couriers from Couriers and commissions under "My delivery company". The merchants ledger exists only on the delivery company's panel. No plan feature is required.

What you need#

  • Couriers added on Couriers and commissions who have delivered COD parcels.
  • For the merchants ledger: merchants registered under your company.

How the balances build up#

  • Cash held by courier (the courier card's "Cash on hand"): grows on delivery by the amount actually collected: the full COD, or the collected amount for a partial delivery.
  • Commission due: grows with every parcel delivered, using the courier's own setting (a percentage of the delivery fee, or a fixed amount per parcel); if empty, the company's default percentage; 0 means none. The optional "Failed attempt fee" is added when a parcel fails for good.
  • Cancelling a delivery or failure reverses its entries ("Undo delivery", "Undo failed attempt" in the statement).

Settle with a courier#

  1. Open the page

Open Courier settlements in the company menu. Each courier row shows "Cash in their custody", "Their commissions due" and a Record settlement form. Or press Settlement on the courier's card in Couriers and commissions.

  2. Record the settlement

On the settlements page choose "I received cash from them" (reduces the cash they hold) or "I paid their earnings" (reduces the commission due), enter the amount and an optional note, then Save. The "Settlement with …" window on the courier's card offers "I received the cash from them" and "I paid their commission" with a Register button. The amount cannot exceed the balance. On the courier card the message is "The amount exceeds the cash held by the courier." when recording cash received and "The amount exceeds their due commission." when recording a commission payment; on the settlements page both cases show "Insufficient wallet balance. Required: …, available: …". The balance drops and the statement gets a new line.

  3. Check the statement

Press Statement on the courier's card. The page lists every movement, newest first (Deliver parcel, Failed attempt, Receive cash from them, Commission payment) with the balance after it; it can be printed.

  1. Each courier's cash and commission due
  2. Choose the movement: receive cash or pay dues
  3. Enter the amount
  4. Save the movement

Company merchants ledger#

Open Company merchants and their wallets; it lists the merchants registered under your company. Each merchant has two wallets with you: Shipping balance (credit they buy from you for parcel fees) and COD dues (positive: owed to them, negative: they owe you). The top shows a per-merchant table, "What they're owed and owe — at a glance" (Owed to him, He owes, Net), and, when there are figures, a read-only section "Your account with the platform (platform merchant parcels)" with no settlement form.

  1. Choose how each merchant pays the delivery fee

In the Payment column: "From COD" (default) deducts nothing at creation and subtracts the fee from the COD at delivery; "From their balance in advance" deducts it from the shipping balance at creation (if not enough, the parcel is not created), and the whole COD becomes due to the merchant.

  2. Settle COD dues

When a merchant's balance is not zero, a form appears: "I paid them" if they are owed money, "I received from them" if they owe you. The amount is pre-filled with the full balance and cannot exceed it.

  3. Top up or withdraw shipping balance

Choose "Top up" or "Withdrawal" and enter the amount; withdrawing more than the balance is refused. A merchant can send a top-up request after transferring money to you; on Top up requests you accept it (the amount joins their shipping balance) or reject it with a required reason the merchant sees.

  4. Set the return refund percentage

In "If your merchant parcel is returned undelivered, they get back … % of the fee", 0% means the merchant bears the whole fee and 100% refunds it fully.

Common mistakes#

  • Typing a Syrian pound amount on Courier settlements: that page uses dollars; use the courier card's window for display currency.
  • Mixing up a courier's cash and a merchant's dues: a delivery adds to the courier's cash and, for a merchant registered under your company, to that merchant's COD dues here; each is settled separately.

Limits and permissions#

  • The merchants ledger works only once the company-wallet tables exist; if a banner asks to run a database update, tell the platform operator.
  • Platform merchants' parcels that your company delivers are settled between it and the platform (recorded by the super admin), not here.
