Guide Delivery companies

Month-end for a delivery company: what you can reconcile

The platform has no formal period-close function. This is a manual checklist using the screens that exist: courier and merchant settlements, top-up requests, payroll and the parcel report, and what each one cannot do.

Purpose#

The platform has no "close the period" function. No screen locks a month, posts closing entries or freezes balances, and every balance simply keeps running into the next month. What you can do is reconcile with the screens that exist and keep your own record of the result. This guide lists those screens in a practical order and says plainly what each one cannot do.

Who can use it#

Company staff accounts. Payroll and Reports are shown only to roles that have the matching permissions (Salary Generate, Salary, Parcel Status, Salary reports). A merchant who owns a private delivery company settles couriers from Couriers and commissions; the other screens belong to delivery companies.

What you need#

  • Couriers and merchants with deliveries recorded in the period.
  • For the merchants ledger, the company-wallet tables in the database: if the page shows a banner asking for a database update, tell the platform operator.

What the screens give you#

Need Screen What you get
Courier cash and commissions Courier settlements, and each courier's Statement (a button on Couriers and commissions) Current balances; the statement lists every movement with the balance after it, newest first, 30 per page, and can be printed.
Merchants' COD dues and shipping balances Company merchants and their wallets Each merchant's balances, an owed/owes/net summary, and the last 40 movements.
Merchant top-ups waiting Top up requests Pending, approved and rejected requests.
Payroll Payroll → Salary Generate One record per user and month.
Parcel results and fees Reports → Parcel Status Reports Counts, amounts collected and fees by merchant and courier, with a CSV export.

None of the balance screens has a date filter or an export; only the parcel report does.

The month-end checklist#

  1. Settle the couriers

On Courier settlements record I received cash from them for the cash each courier hands over and I paid their earnings for commissions you pay. From Couriers and commissions open Statement for each courier and press Print if you want a paper record. Settlements only record what happened.

  2. Settle company merchants

On Company merchants and their wallets settle each merchant's COD dues with I paid them or I received from them (a negative figure means the merchant owes you). When the company has an amount due or owed with the platform for platform-merchant parcels, a read-only tile "Your account with the platform (platform merchant parcels)" appears: the super admin records settlements with the platform.

  3. Clear merchant top-ups

Open Top up requests and approve every transfer you have received, or reject it with a reason, so shipping balances are complete.

  4. Prepare payroll records

On Payroll → Salary Generate press Auto Generate and choose the month. It adds a record for each admin-type and courier-type user of the company, using the salary saved on the user (0 if none), and skips users that already have one for that month. You can also add or edit a record by hand.

  5. Produce the parcel report

Open Reports → Parcel Status Reports, choose the month with From and to, and press Export Excel for the CSV file. Parcels are counted by creation date, not by delivery date.

  6. Keep your own record

The platform does not store a month-end snapshot. Note the balances shown on the settlement pages, print the courier statements and save the CSV report.

  1. Each courier's cash and commission due
  2. Choose the movement: receive cash or pay dues
  3. Enter the amount
  4. Save the movement

Expected result#

After the settlements, courier cash and commission balances fall by the amounts you recorded, and merchants' COD dues fall to what remains owed in either direction.

Common mistakes#

  • Looking for a close-month button. There is none; balances are cumulative.
  • Expecting the Status column of Salary Generate to turn to Paid. Nothing updates it, so it keeps showing Unpaid («غير مدفوعة» in Arabic) even after a payment is recorded.
  • Relying on Parcel Wise Profit. It reads older data (the parcel's old delivery amount, which is 0 for new parcels, and courier statement entries written only by the switched-off modules), so it does not show real profit.
  • Typing an amount in Syrian pounds on Courier settlements. That page works in US dollars.

Limits and permissions#

  • The Salary page, which records a payment and prints a pay slip, requires a From Account. The list is filled from the Accounts module, which is switched off, so a company with no existing account cannot save a payment there.
  • The courier statement and the merchants ledger cannot be filtered by date; the ledger shows only the last 40 movements.
  • Ledgers are kept in US dollars; screens show your display currency.
  • The settlement pages are for company staff accounts.
