To-do list: create, assign and complete tasks

How company staff add a task, assign it to a colleague and move it from Pending to Completed with notes, who sees the company's tasks, and what the list does not do.

Purpose#

The to-do list is a small shared task board for a delivery company's staff. Someone creates a task, assigns it to a colleague, and the task moves from Pending to Processing to Completed, with a note at each step.

Who can use it#

  • Company staff on the company's own domain. Each action has its own permission: todo_read (the list), todo_create (add), todo_update (edit and change status) and todo_delete. The menu item Todo List needs todo_read; without a permission the link is hidden and opening it directly sends you to the home page.
  • Everyone with todo_read sees every task of the company, not only the tasks assigned to them. The assignee appears in the Assign column. The platform super admin does not get the add button.

Use the to-do list#

  1. Add a task

Press the pencil (edit) icon button in the top bar; its tooltip reads To Do («لكى يفعل» in Arabic), and it appears for accounts with todo_create. In the To Do Add window fill Title, Assign (any of your company's users except merchants), Date (today by default) and, optionally, Description, then Save. A colleague outside your company cannot be assigned.

  2. Start it

Open Todo List. In the Status Update column of the first task on the page that is not yet completed (see the warning below), open the small menu and choose PROCESSING. A window asks for a Note; press Submit. The status badge changes and the note appears in the Note column.

  3. Complete it

For a task in Processing, the same menu offers COMPLETED (the same warning applies). Add a note and Submit. A completed task shows "..." instead of the menu and cannot be moved again.

  4. Edit or delete a task

In the Action column press "..." and choose Edit or Delete. Edit changes the title, assignee, date and description (not the status). Delete asks for confirmation.

Expected result. The list shows each task with its date, title, shortened description, assignee, note and status, newest first, ten per page.

Common mistakes#

  • Looking for an add button on the list page. The page has none; add tasks from the pencil icon in the top bar (tooltip To Do).
  • Expecting a reminder. The date is informational: the system sends no notification to the assignee and no reminder.
  • Trying to jump from Pending to Completed. The menu offers only the next step: Pending to Processing, then Processing to Completed.
  • Changing the status without todo_update. The menu is visible, but the request redirects you to the home page.
  • Assigning outside the company. The task is not saved and a red message "Opss! Something is rong" appears.

Limits and permissions#

  • Company domain only; one note per step (a new note replaces the previous one).
  • The list has no search or filter, and a completed task cannot be reopened.
  • Changing the status currently works only for the first task on the page that is not yet completed.
