Fleet: assets, fuel, maintenance and accidents

What the asset category, asset, fuel, maintenance, accident and asset report screens record in the company panel, how they connect, and which parts are not available, such as vehicles, the Maintenances page and asset assignment.

Purpose#

The company panel has a small fleet register: asset categories, assets, and three logs that hang off an asset: fuel, maintenance and accidents, plus a per-asset Reports page. This guide explains what each screen records, how they connect, and which parts are not available today.

Who can use it#

  • Company staff on the company's own domain; these pages are available only there.
  • The menu group is labelled «الأسطول (السيارات والأصول)» in every language. Inside it, each entry appears only if the account has its permission: asset_category_* for Assets Category, assets_* for Assets, fuels_* for Fuels, maintenance_* for Maintenances, accidents_* for Accidents and assets_reports for Reports. Without the permission the entry is hidden and a direct link sends you to the home page.
  • The asset_category_* and assets_* keys are in the standard permission list used by plan modules and roles. The other four keys are not in that list and are granted by default only to the accounts created by the system's initial installation; no screen in the panel grants them. If your menu lacks Fuels, Maintenances, Accidents or Reports, contact support.

What you need#

At least one hub in your company, because every asset belongs to a hub, and an asset category created first.

How the pieces connect#

Screen What it records Linked to
Assets Category Title and display position Assets
Assets Name, category, hub, supplier, quantity, warranty, invoice number, amount, description Hub and category
Fuels Fuel type, amount, invoice file One asset
Maintenances (not available at the moment) Start and end dates, repair details, spare parts details, invoice file One asset
Accidents Date, responsible courier, repair cost, spare parts, documents One asset
Reports Everything above for one asset Asset

Record your fleet#

  1. Create asset categories

Open Assets Category and press +. Enter Title (required) and Position (optional number); the list is sorted by position. Edit or delete from the row's actions menu.

  2. Add assets

Open Assets and press +. Required: Name, Asset Category, Hub and Amount. Optional: Supplyer Name, Quantity, Warranty, Invoice No and Description. The list shows the columns SL, Name, Asset Category, Hub, Supplyer Name, Quantity, Warranty, Invoice No and Amount with Edit and Delete actions; the Description is saved but not shown in the list. Use an asset for anything you track, including a vehicle (name it by its plate number, for example).

  3. Record fuel

Open Fuels and press +. Choose the Asset, type the Fuel Type, enter the Amount (a number) and upload the Invoice of Fuel. All four are required, and the invoice file is required again when you edit an entry.

  4. Record accidents

Open Accidents and press +. Choose the Asset, the Date of Accident, the Driver Responsible (an active courier from the list), the Cost of Repair (a number) and the Spare Parts. Upload Documents accepts several files (press the + next to the file box to add more); it can be left empty even though its label carries a star.

  5. Review an asset's history

Open Reports, choose an Asset, set From Date and To Date and press Reports. The page shows the asset's name, category and amount, then its assigned drivers, fuel, maintenance and accident entries.

Expected result. Each fuel and accident entry appears in its own list, and the Reports page gathers an asset's entries.

What is not available#

  • Vehicles. The Vehicles page is not in the menu and does not work. Record vehicles as assets instead.
  • Assigning assets to couriers. No screen assigns an asset. The assigned-drivers table on Reports reads assignment records that nothing in the panel creates, so it stays empty.
  • Maintenance. The Maintenances page does not open at the moment, so maintenance entries cannot be added, reviewed, edited or deleted from the panel's menus. The Reports page shows the maintenance entries that already exist for an asset.

Common mistakes#

  • Leaving the Reports dates empty. An empty date defaults to today for the fuel and accident lists, so with both empty you see only today's entries (fuel is filtered by the day it was recorded, accidents by their accident date). With both dates set, a maintenance entry is listed only when it falls completely inside the range.
  • Deleting a category that assets still use. Nothing blocks it, and the Assets list then cannot be displayed. Keep the category for as long as assets use it.
  • Expecting fields that the forms no longer have. Several Reports columns (plate number, chassis, registration, insurance) are always blank, because assets no longer store them.
  • The "(Tk)" in amount headings. The Amount heading on the Fuels screen and in the fuel table of the Reports page reads "Amount (Tk)" («المبلغ (تاكا)» in Arabic) whatever your currency.
  • Reading Arabic screens. In the Arabic interface the names Fuels, Maintenances, Accidents and most of their field labels appear in English, as the Arabic translation is missing.

Limits and permissions#

  • Company domain only; permissions as above.
  • An asset needs a hub and a category.
