Merchant storage in warehouses: reservation, monthly fee and stock

Purpose#

The warehouse service lets a merchant keep goods on rented pallets in a platform warehouse and ship parcels from that stock. This guide covers the merchant side: when the service is available, how a pallet reservation works, the monthly fee taken from your shipping balance, and how to see and use your stock.

Who can use it#

• Independent (platform) merchants. Merchants registered under a delivery company do not see the المستودعات (Warehouses) menu.
• The service is off by default. The super admin switches it on for all merchants (except those blocked) or only for selected merchants. If your platform uses merchant plans, your plan must include خدمة المستودعات (Warehouse service), unless the super admin enabled you explicitly.
• A reservation is made by the super admin, not by you. Once you hold an active reservation, the page stays visible even if the general service is off.

What you need#

• An account that the service is enabled for, or an active reservation.
• A reservation at a warehouse that accepts storage and has free capacity (arranged with the platform).
• Enough shipping balance (رصيد الشحن, Shipping balance) for the monthly fee.

Steps#

1. Open the Warehouses page

   Choose المستودعات in the merchant menu. If the service is not enabled for you, the page says it is not enabled and asks you to contact support (if you hold an active reservation, your space, stock and movements still appear above that message). If the service is enabled for you, it lists the active warehouses with address, hours, phone, a directions link, a map when coordinates exist, and the fee per parcel or "Free".

2. Get a pallet reservation

   Ask the platform to reserve pallets for you. The super admin chooses the warehouse, the number of pallets, the monthly fee and a note. If the warehouse has fewer free pallets than requested, the reservation is refused. The warehouse is added to your pickup locations as مستودع: warehouse name automatically. If the first monthly fee is due, it is taken from your shipping balance at once; if the balance is too low, it is charged automatically after you top up.

3. Create a parcel from your stock

   In New parcel, choose the warehouse as pickup location. A required section then asks what leaves from your stock with this parcel: each product shows what is available, which is the quantity minus the quantity held for your other pending parcels. Enter quantities; they are held for this parcel. The supervisor prepares the goods and records them leaving.

4. Follow your stock and fee

   In مساحتي بالمستودعات (My space in warehouses) you see each reservation with its pallets, the monthly fee in your display currency and the next charge date. بضاعتي بالمستودع (My goods in the warehouse) lists product, warehouse and quantity, and the last 30 movements show in or out with the parcel number.

Expected result#

• Your reserved pallets and fee appear under مساحتي بالمستودعات.
• Goods recorded by the supervisor appear in your stock and movements.
• Each monthly fee appears in your shipping balance history with the description "أجرة مستودع «name» — N طبلية — شهر YYYY-MM" (warehouse rent, pallets, month).

The monthly fee#

• The fee is set per reservation by the super admin and is charged as a whole each month; it is not multiplied by the number of pallets. It is stored in US dollars and shown in your display currency. A reservation without a fee shows بدون أجرة (no fee).
• A daily job at 03:10 charges every reservation whose next charge date has arrived, from your shipping balance. Each month is charged once.
• If the balance is not enough, the reservation shows the red note ما انخصمت الأجرة — اشحن رصيدك وبتنخصم تلقائياً (the fee was not charged; top up and it will be charged automatically), and the system tries again the next day.
• When the super admin ends a reservation, the pickup location is deactivated. Parcels already created stay linked to it.

Common mistakes#

• "خدمة المستودعات مو مفعّلة لحسابك حالياً — تواصل مع الدعم إذا بدك تفعّلها." With the panel in English it reads "Warehouse service is not enabled for your account — contact support if you want to enable it." You have no reservation and the super admin has not enabled the service for you; contact support.
• Looking for a button to reserve pallets. There is none on the merchant side; reservations are made by the super admin.
• A parcel refused with "مكان الاستلام مستودع — اختر المنتجات والكمية يلي لازم تطلع مع الطرد من بضاعتك بالمستودع". A warehouse pickup location needs at least one product with a quantity.
• Quantity above what is available. The message names the product and shows the stock, and the quantity held for your other parcels.
• A pickup location whose reservation has ended. Parcel creation is refused with "حجزك بالمستودع «مستودع: warehouse name» منتهي — اختر مكان استلام تاني أو تواصل مع الإدارة." The name inside the guillemets is the pickup location's name, which starts with "مستودع: "; choose another pickup location or contact the administration.

Limits and permissions#

• Only platform merchants; the page needs the merchant account type.
• Storage is available only in warehouses the super admin marked as accepting storage, within their pallet capacity. A merchant has one active reservation per warehouse; changing it updates pallets and fee.
• Through the API, GET /api/v1/warehouse/stock (Bearer key, plan flag api) returns your reservations, the pickup location ID and each product with qty, reserved and available, and POST /api/v1/parcels accepts warehouse_items such as [{"sku": "A1", "qty": 2}].
• Only the supervisor records goods in and out; you cannot edit quantities.
